Assist with Tender applications:

Request and printing of registration certificates, Proof of application for pre-reg, PI’s, printing of tabs

Filing documents according to index. Requesting and packing of samples

Arranging courier of samples


Requesting of COA’s and Batch documentation from 3rd party manufacturers:

Once product arrives in SA, COA’s and Batch documentation are requested to be added to the release packs


Updating Artwork Files & Tracker:

All new artwork to be marked on and uploaded to the Artwork tracker smart sheet

Older versions to be removed and archived


Liaise with Distributor and update the QA sampling plan:   

Each time new products are launched or new pack sizes the QA sampling plan needs to be updated and sent to the Distributor so that they are aware of these changes


Creating release documents: 

Based on samples received from the Distributor, release documents need to be prepared


Updating the Smart sheets:

Once releases have been signed off by the QA Pharmacist, the sample receipt and release tracker must be updated and the release form uploaded


Assist with the update and review of the QMS system:

SOP’s format to be reviewed, assist with creating and uploading of SOP’s to dashboard.


Liaising with Procurement and the lab:

Procurement to notify daily of stock arriving that is for urgent release

Assistant to ensure that the Lab has this information and priorities the testing based on this


Working standards request:

Receive a reconciliation folder from the lab monthly, place orders with manufacturers for all standards that may be running low


Liaising with the Courier:

Arranging all courier activities for QA. Assisting RA, R&D and Procurement with courier activities as well


Assisting with scanning of PI/PILS for regulatory pharmacists:

All finalized copies of the PI/PIL is scanned into the system for upload


Document and send back all visual inspection samples received from the Distributor:

All visual inspection samples are documented and samples are prepared to be sent back to the distributor for storage in the retention samples cage


Filing of all sample receipt documents and delivery notes:

All documents received with samples need to be filed


Filing of completed release packs once batch documents are received:

Once Batch documents and COA’s are received, release packs need to be filed


Checking of all damages returned from the Distributor:

All damaged stock returned to Austell for donation purpose need to be checked against the stock approved for write-off to ensure that everything has been received




Relevant Tertiary Qualification

Previous experience within the same / similar role

Own Transport
