JOB PURPOSE

The Logistics Coordinator will be responsible for managing all aspects of shipping routes and delivery locally and internationally, focus being on customer satisfaction and providing accurate data and information

The logistics role is responsible for responding immediately to customer questions and complaints and for notifying internal and external parties about any delays in the delivery schedule. Clear communication between suppliers, service provider and the company are critical to the role

Effectively managing of all inbound and outbound service provider communications and coordinating with other departments are essential requirements in this position

 

FUNCTIONS & RESPONSIBILITIES

1.         Inbound

Logging and Tracking of Imports i.e. Sea & Air Freight Liaison with Sales and Freight forwarders regarding order and shipping requirements

Assess and recommend ideal shipping methods, routing, or carriers to meet necessary parameters, specifications and costs

Negotiate rates with carriers

Prepare all import documentation as required of shipments leaving international ports and arriving in SA

Ensure ETA and shipping details are updated on the system

Relay information to Procurement Departments to investigate any short or excess items on any receipts and correct any variances with supplier

2.         Outbound

Assess and recommend ideal shipping methods, routing, or carriers to meet necessary parameters, specifications, and costs

Negotiate rates with carriers

Logging and Tracking of Exports i.e. Sea & Air Freight

Prepare all export documentation as required of shipments leaving international and SA ports Prepare accurate bills of lading

Satisfy air bills in a timely manner

Communicate with van lines and airlines to ensure prompt pick-up and delivery of shipments

Arrange same-day deliveries whenever possible

Review purchase orders and shipment contents prior to releasing them from our facility

Track and analyze mis-shipments to ensure they do not occur again

3.         Communications & Administration

Liaise with Sales Team regarding orders Packed and provide dimensional info. (SA & Xtrade)

Ensure NPIW document is maintained and up to date on the server

Ensure container calculator document is maintained and up to date on the server

Respond to customer and supplier inquiries and refer clients to the appropriate channels

4.         Supplier Relationships

Establish and maintain lasting relationships with local and international suppliers and vendors

Source alternative service provider internationally

5.         Receipting

Receipts all incoming purchase orders (local and international)

Ensure correct landed costs are calculated and used when receipting

Reconcile PO with the actual order qty received and communicate with procurement to make the necessary amendments to the PO

Once receipting is done send receipting pack (PO, INV, GRV, Delivery Documents) to Finance Department

6.         Rebates & Drawbacks

Prepare and send drawback documents and provide accurate data and information to the relevant parties timeously

Ensure all reporting is accurate and up to date

REQUIREMENTS

A relevant degree or diploma in Clearing and Forwarding is preferred

OR a minimum of three years of related experience in clearing and forwarding, importing, and exporting, container management, tariff classification or equivalent combination of formal education and experience

 

Excellent oral and written communication skills, plus a good working knowledge of Microsoft Office Suite is required

Above average command in at least two of the Official Languages in South Africa

Problem-solving and analytical skills to interpret pricing and market trend information

The ability to take instruction and work in a team environment

Ability to work well in a fast-paced environment

 

Environmental Challenges and/or Physical Requirements:

Security risk working after hours

Ability to work long hours

Available after hours in case of an emergency

Hands on assistance in the dispatch area
