About the Job:

Our client, a leading private psychiatric and addiction rehabilitation facility in White River, is seeking an experienced and compassionate Admissions Administrator to join their team urgently

This role serves as the first point of contact for prospective patients, families, medical professionals, and referral partners—many of whom are international clients. The successful candidate must possess exceptional telephone communication skills, emotional resilience, and the ability to professionally manage sensitive and often distressing conversations while maintaining empathy and discretion

This position requires someone who is calm under pressure, highly organised, emotionally mature, and capable of balancing compassion with professionalism

Requirements:

• Grade 12 (Matric)
• Relevant qualification in Administration, Healthcare Administration, Psychology, Social Sciences, Customer Service, Hospitality, or a related field will be advantageous
• Minimum 3 years’ experience in an admissions, patient services, medical administration, client liaison, or customer service environment
• Previous experience within a private hospital, psychiatric facility, rehabilitation centre, healthcare environment, or luxury hospitality environment is highly advantageous
• Excellent verbal and written English communication skills
• Ability to communicate confidently and professionally with international clients
• Strong computer literacy (Microsoft Office and patient management systems)
• Excellent organisational and administrative skills
• High attention to detail and accuracy
• Ability to multitask and prioritise effectively

Duties & Responsibilities:

• Manage all incoming admissions enquiries via telephone, email, and online platforms
• Professionally guide prospective patients and their families through the admissions process
• Respond to enquiries from international clients, medical professionals, insurers, and referral sources
• Gather and accurately record confidential patient information
• Coordinate admissions documentation and ensure all required paperwork is completed
• Liaise with clinical teams regarding patient suitability and admission availability
• Schedule admissions and coordinate arrival logistics
• Maintain accurate patient records within the admissions system
• Explain facility programmes, services, costs, and admission requirements
• Handle sensitive conversations involving addiction, mental health, trauma, and family crises with empathy and professionalism
• Follow up with prospective admissions to ensure continuity and conversion of enquiries
• Ensure compliance with POPIA and patient confidentiality requirements
• Build and maintain professional relationships with referral partners and healthcare professionals
• Provide administrative support to the Admissions and Clinical teams as required
• Maintain a high standard of customer service throughout every patient interaction
