Accounts Payable Accountant – Food Company – Montague Gardens Full Time NEW

About the Job:

The Accounts Payable Accountant is responsible for the full accounts payable function, ensuring the accurate and timely processing of supplier invoices, reconciliations, and payments. The role supports effective cash flow management and maintains strong supplier relationships while ensuring compliance with internal controls and financial policies.

Requirements:

• Grade 12 (Matric) – mandatory
• Relevant finance or accounting qualification (Diploma/Degree advantageous)
• Minimum 3–5 years’ experience in an Accounts Payable role
• Experience working on Pastel Partner or similar accounting systems
• Strong Microsoft Excel skills
• High level of accuracy and attention to detail
• Strong organisational and time management skills
• Ability to work under pressure and meet strict deadlines
• Good communication and interpersonal skills
• Strong reconciliation and problem-solving abilities
• High level of integrity and accountability
• Experience in a high-volume, fast-paced environment
• Exposure to inventory or FMCG environments

Duties & Responsibilities:

Invoice & Payment Processing

• Accurate capturing and processing of supplier invoices in ERP system (Pastel)
• Verification of invoices against purchase orders and delivery notes
• Ensuring correct allocation of expenses to appropriate accounts and cost centres
• Capturing and allocating supplier payments
• Compiling weekly payment schedules in line with supplier terms and deadlines
• Loading payments, wages and transfers onto the banking system for authorization
• Monitoring invoice discrepancies and resolving queries with suppliers and internal departments
• Ensuring adherence to company approval frameworks before processing payments

Reconciliations & Reporting

• Preparing monthly supplier age analysis reports
• Reconciling supplier statements and resolving outstanding items
• Reconciling company credit card accounts
• Performing monthly AP ledger reconciliations to the general ledger
• Assisting with month-end and year-end closing procedures

Procurement & Supplier Management

• Creating and submitting purchase orders (POs)
• Liaising with suppliers regarding delivery dates, documentation, and account queries
• Completing and submitting supplier credit applications
• Maintaining an up-to-date supplier database, including banking details and compliance documents
• Verifying supplier banking details to mitigate fraud risk

Financial Administration

• Preparing monthly and weekly journal entries (including salaries & wages imports, depreciation, and other adjustments)
• Maintaining and updating the asset register
• Calculating and processing rebate provisions
• Creating new product codes where required
• Assisting with audit preparation and providing supporting documentation
• Ensuring compliance with company policies and financial controls

General Administration

• Filing supplier invoices, credit applications, and monthly documentation
• Distributing stock take sheets
• Supporting ad hoc finance-related tasks as required by management
• Continuously identifying process improvements within the AP function
