Requirements:
System Knowledge – Proficiency in Dealer Management Systems such as VMG
Administrative Skills – Excellent attention to detail for documentation, filing, and data accuracy.
10 years F&I experience.
Duties & Responsibilities:
Stock Management & Administration:
Capturing and Processing – load vehicle details into VMG.
Documentation Control – Maintain accurate records of all deal files, ensuring all required paperwork is present and compliant.
Vehicle Licensing – Handle all registration, and NaTIS documents.
Quality Control:
Costing – Balance vehicle costing on VMG.
Inventory Control:
Stock Takes – Conduct regular, often weekly, physical stock counts to ensure the physical stock matches the system records.
Stock Transfers – Manage the logistics of stock swaps (consignment).
Liaison and Reporting:
Sales Support – Work with Sales Executives to inform them of available stock and update stock lists, including pricing.
Floorplan:
Purchasing Vehicles – Using the line of credit to load used cars from buy ins or trade ins.
Loan Management and Repayment:
Repayment – Repaying the principal amount for each car upon its sale.
Inventory Auditing and Compliance:
Auditing Compliance – Preparing for and assisting with, in some cases, unannounced on-site “audits” or inspections by the lender to verify that all vehicles still on the lot are accounted for.
Documentation Management – Ensuring all titles, documents, and compliance records for each vehicle are properly maintained.
Lender Relationship Management:
Transparency – Maintaining open communication with the lender, particularly if a vehicle is removed from the lot temporarily, such as for repairs or for transport to another branch.
Managing Credit Limits – Managing the total amount of outstanding debt to stay within the approved credit line.
